- Totally get what you mean about labeling apps feeling like extra work. I tried one for a week and just... stopped using it. Too many steps when you’re already juggling tools and trying not to drop your phone in the crawlspace.

- Shared folders with photos are way easier for me too. I just snap a pic of whatever I’m working on—shutoff valves, weird pipe junctions, that kind of thing—and toss it in the folder. But yeah, keeping it updated is a pain. My partner forgot to upload pics after fixing a leak under the sink, so when I went looking for reference later, nada.

- One thing that’s helped (a little) is setting a reminder on my phone to update the folder after any plumbing work. Not perfect, but better than nothing.

- I’ve also started naming photos with the date and location (“2024-05-kitchen-sink-shutoff”) so at least I know how old the info is. Sometimes I’ll add a quick note in the photo description if something changed.

- Honestly, I wish there was an app that just auto-updated everything without me having to think about it... but until then, reminders and clear file names are my go-to.

- Curious if anyone’s tried QR code stickers? Saw someone mention it on another thread—stick a code near the valve or fixture, scan it, and boom: up-to-date info or photos pop up. Haven’t tried it myself yet but sounds kinda cool.

- Keeping digital records current is definitely trickier than it sounds. If you find something that actually works long-term, let me know... right now my system is mostly “hope I remember to take a picture before closing things up.”

Naming photos with dates and locations is honestly a solid move. I’ve tried a few of those fancy apps too, but they end up being more hassle than they’re worth—especially with dirty hands or if you’re crouched behind a toilet. QR code stickers sound clever, but I’d worry about them peeling off or getting covered in grime after a while. At the end of the day, whatever system you actually remember to use is better than the “perfect” one you never touch. You’re definitely not alone in the “hope I remember” camp... it’s more common than people admit.

Honestly, I’m with you about the apps—half the time my phone’s got water spots or I’m wearing gloves anyway. Tried QR codes once… they lasted about a week before getting gunked up. Naming photos is simple, but it actually sticks. Sometimes “good enough” beats “fancy.”
